Job Summary

Provides the highest level of administrative support to the President and CEO and additional senior level executive(s). Must be extremely well-organized, disciplined, dependable, focused, detail-oriented and accurate. Must possess the ability to multi-task and move quickly in a demanding and highly confidential environment. Position demands excellent time management skills, polished verbal and written communication skills and the ability to prioritize and solve problems quickly and calmly. Must maintain a positive attitude and consistent temperament and must adhere to the highest standard of ethics and professional behavior.

Essential Functions

 

  1. Maintains very busy calendars for the CEO and other Executive(s) and organizes internal and external appointments and meetings quickly, efficiently and accurately.
  2. Composes memos and correspondence and reviews incoming mail, documents and information for time sensitivity and handling.
  3. Organizes and maintains highly confidential files for immediate retrieval; creates/maintains an electronic file system.
  4. Arranges all air, hotel, and ground transportation independently and accurately.
  5. Manages expense receipts and produces monthly expense reimbursement reports for executives’ personal and company credit card expenditures.
  6. Handles heavy phone volume for multiple executives with poise and discretion.
  7. Interfaces with and prepares documents for various meetings, intermediate to advanced knowledge of PowerPoint and creating deck presentations.
  8. Ability to prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  9. Performs other related duties as required and assigned.

Job Requirements

  • Bachelor’s Degree or equivalent work experience required
  • 5 years of experience supporting senior executives
  • Proficiency with Microsoft Office and the latest version of Windows
  • Must have strong customer service skills
  • Excellent time management, organizational, and problem-solving skills
